Viewing Requests

The table shows all requests with:

  • Employee: Requester's name
  • Type: Leave category
  • Dates: Start and end of the period
  • Duration: Number of days requested
  • Status: Pending, Approved, Rejected

Filter by Status

Use the tabs at the top of the table:

  • All: All requests
  • Pending: Requests to process
  • Approved: Validated requests
  • Rejected: Refused requests

Approving a Request

  1. Click on a Pending request
  2. Check the employee's leave balance
  3. Check for overlaps with other absences
  4. Click Approve or Reject
  5. Enter a rejection reason (required to confirm rejection); the original request reason is preserved
Tip

Always check the team schedule before approving leave to avoid understaffing.

Notifications and saved decisions

Leave notifications use the employee’s linked recipient or an active HR administrator in the same tenant. The requester’s name and dates come from the saved request, not a browser-supplied address. Emails follow the recipient’s French/English preference (French by default).

If “The request is saved, but a notification could not be sent.” appears, check the status in the list: do not resubmit an already saved decision. Acceptance by the email provider does not prove inbox delivery.

The original request reason is preserved. A rejection reason may be included in the notification; durable archiving in the direct decision path is not yet guaranteed.

Creating a Request (on behalf of an employee)

  1. Click + New Request
  2. Select the employee
  3. Choose the leave type
  4. Enter the start and end dates
  5. Add a reason if needed
  6. Click Submit

Exporting Leave Balances to PDF

The Leave Balances report shows, for each employee, their balance, the days taken and the days remaining.

Generating the Report

  1. Open the HR Reports page from the side menu, or go directly to /dashboard/hr/reports
  2. Configurations tab: find a configuration of type Leave Balances (if there is none, create it from the Create tab)
  3. Click Generate PDF: the file downloads as soon as it is ready

PDF Contents

  • Summary: total days remaining and number of employees concerned
  • Details by Employee: one row per balance, with the columns Employee, Code, Balance (entitlement + carry-over from the previous year), Taken and Remaining
  • Balances are those on the day of generation: they do not depend on the period shown in the header
All rows

The table contains all of the tenant's balances, with no row limit. When it runs past one page, it continues on the following pages and the column header is repeated on every page. Pages are numbered "Page N of total".

Language and Number Format

The PDF is produced in the interface language at the moment you click Generate PDF: titles, column headers and default footer (a footer customised by your company is kept as is). Decimal numbers follow that language: 15.5 in English, 15,5 in French.

Known limitation

This behaviour (all rows, translated headers) applies to the Leave Balances and Attendance reports. In the Workforce and Payroll reports, labels are translated, but data reading is not paginated yet: on a very large volume, these two reports are not guaranteed to be complete.
